Outlook 2003 Personal Folders Backup
You may currently have Personals Folders set up in Outlook. This means you have some of your email stored on your computer while the rest of it is on the Exchange server. We back up the mail on the Exchange server on a regular basis, but your Personal Folders email only resides on your computer.
To ensure that you have a backup of your Personal Folders, follow these steps to install and use the Outlook 2003 Personal Folders Backup tool.
Installation
Click here to download the Outlook 2003 Personal Folders Backup tool installer.
Save the file to a location on your computer that you will remember where you placed it (like the Desktop).
Please make sure Outlook and all other programs are closed, and then double click on the file (called pfbackup) and choose Run. (It should be OK to keep this help file open, though.)

Follow the directions to install the program.
Using the Program for the First Time
With Outlook open, click on File and choose Backup.

When the Outlook Personal Folders Backup tool opens, you'll need to click on Options before you run it for the first time.

The default setting for reminding you to make backups is 7 days. You can change this setting (or turn it off) at the top of the Backup Options menu.
Notice there is no checkmark next to Personal Folders and Archive Folders. Check the box next to one (or both) to have the backup tool archive those folders.

If you click on Personal Folders or Archive Folders, you'll notice the location for the backup is somewhere on your computer. We want you to backup your Personal and/or Archive Folders to somewhere else other than your computer, so click on Browse to choose another location. You will have to do this for both Personal Folders and Archive Folders.

After you click on Browse, you'll be able to choose where you want your Personal Folders to be backed up. Click on My Computer on the left side of this dialogue box.

When the contents of My Computer come up, double click on your P drive and then click Open.

Repeat the steps for your Archive Folders (if desired), and then click on OK.
Now you are ready to make a backup of your Personal and/or Archive Folders. Click on Save Backup to begin.

You'll be given a message saying that the backup won't occur until you close Outlook. Click on OK and then close Outlook.

Your backups will begin copying about 10 or 15 seconds after you close Outlook. Please do not reopen Outlook during this process.
Once the backup has finished copying, you may reopen Outlook.
Because your Personal Folders backup may be rather large, you may want to burn it to a CD and then remove it from your P drive.

Using the Program Later On...
With Outlook open, click on File and choose Backup.

Click on Save Backup to begin.

You'll be given a message saying that the backup won't occur until you close Outlook. Click on OK and then close Outlook.
