We are writing to you because you have received QOD (quarter off-duty) compensation from grants or contracts during the past two academic years. In academic year 2011-12, there will be some one-time changes to the QOD policy as part of the university's calendar conversion from quarters to semesters. We want you to be aware of these one-time changes so that you will know what to expect during the coming year.
There are three main changes for you to know about during this transitional year:

Under the quarter calendar, for each month worked during a quarter off-duty, faculty were permitted to earn up to 1/9th of their annual salary in additional compensation from a combination of sponsored project and university funds. For convenience, QOD appointments were made, and QOD salary was paid, on calendar quarters (i.e., starting in January, April, July, or October) although these dates are slightly out of sync with the academic calendar.
Under the semester calendar, beginning in 2012-13, faculty will continue to be permitted to earn up to 3/9th of their salary in off-duty compensation through a combination of sponsored project and university funds. In general, the off-duty period will be in the summer, and the additional compensation will be paid in June, July, and August.
The chart below illustrates the calendar complexities for the transitional year of 2011-2012. Under the quarter calendar, faculty with summer as their QOD would have had July, August and September as their off-duty months (again, for clarity, using October to September as the nominal year). Under the semester calendar, however, September will be the first month of the 2012-2013 academic year, and so is not available as part of the 2011-2102 year. At the same time, the redefinition of off-duty days, which was approved by the University Senate last year, allows some off-duty salary to be earned and paid in June 2012, following the conclusion of spring quarter. Faculty taking off-duty quarters in fall, winter or spring will also be limited to 2.25 months of QOD compensation. This provides equity across the year and also reflects the fact that the on-duty period for summer is shorter than usual.
The limit of 2.25 months of off-duty compensation is one-time only as the academic calendar is reset from October to September (quarters) to September to August (semesters). If you have questions please contact Anne Moffat at moffat.1@osu.edu or 2-3732.

Beginning in October, 2011 the EHE Office of Research will host weekly help sessions for faculty, research staff, and students. The sessions are for individuals of all stages of career development. Our staff will be equipped with a laptop to assist with navigating online tools and systems (e.g., PI portal, Cayuse, COS, etc) and reviewing electronic documents. Note that these sessions will occur on Wednesdays from 1–3 p.m. on a rotating basis in Arps, Campbell, Ramseyer, and PAES.
